1. Introduction

SimpleDock (“SimpleDock,” “we,” “us,” or “our”) provides software for scheduling dock appointments at warehouses, plants, distribution centers, and similar facilities. This Privacy Policy explains what information we collect, how we use it, and the choices you have. By using SimpleDock, you agree to this policy.

2. Information we collect

We collect the following categories of information:

• Account information. When you create an organization, we collect your name, email, password (hashed), and the name and address of your facility.
• Booking information. When carriers, drivers, or other end users book an appointment, we collect contact details (name, phone number, email), carrier or company name, vehicle and load details, and the time slot selected.
• Communications. If you contact us for support, we keep a record of the message and our reply.
• Usage data. Server logs, device and browser information, IP address, and pages visited.
• Cookies and similar technologies. We use cookies that are strictly necessary to keep you signed in and to operate the service.

3. How we use information

We use information to:

• Provide, maintain, and improve the service.
• Send appointment confirmations, reminders, reschedule notifications, and other transactional messages by SMS and email.
• Sync appointments with connected calendars (e.g., Google Calendar) when you authorize that integration.
• Respond to support requests and prevent abuse.
• Comply with legal obligations.

4. How we share information

We do not sell personal information. We share information only as described below:

• Customer organizations. Information submitted during a booking is shared with the facility that owns the booking link, since the appointment exists on their schedule.
• Service providers (subprocessors). We use vendors for hosting, database, email delivery, SMS delivery, and calendar sync. These vendors process data only on our behalf and under contractual confidentiality and security obligations.
• Legal and safety. We may disclose information to comply with valid legal process or to protect the rights, safety, and property of SimpleDock, our users, or the public.
• Business transfers. If we are involved in a merger, acquisition, or sale of assets, information may transfer as part of that transaction.

5. Data retention

We retain account information for as long as your account is active. Booking records are retained for the operational and recordkeeping needs of the facility that scheduled them. We delete or anonymize information when it is no longer needed, subject to legal retention requirements.

6. Your rights

Depending on where you live, you may have the right to access, correct, delete, or port your personal information, and to object to or restrict certain processing. To exercise these rights, email us at support@simpledock.ai. We will respond within the timeframe required by applicable law.

If you booked an appointment as an end user (carrier or driver) and want your information removed, contact the facility that scheduled the appointment, or email us and we will route the request.

7. Security

We use reasonable administrative, technical, and physical safeguards designed to protect information, including encryption in transit, hashed passwords, and access controls. No system is perfectly secure; we cannot guarantee absolute security.

8. Children's privacy

SimpleDock is not directed to children under 13, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

9. International transfers

SimpleDock is operated from the United States. If you access the service from outside the U.S., information may be transferred to, stored in, and processed in the United States or other countries.

10. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the “Last updated” date and, where appropriate, give you additional notice.
